Yes, This Is SharePoint: One Front Door for Simultaneous ERP and HCM Programs

A front door to the client's enterprise knowledge and workstreams, built for the departments that run on them and the programs changing them. Both go-lives landed on their planned dates.

Two Go-Lives, Five Workstreams, Six Places to Look

The client was taking an ERP release and an HCM rollout live 18 days apart. Program teams had no shared place for schedules, calendars and project files, so each kept its own folders, as did the systems integrator.

The departments around them had no agreed home for how work gets done, from the RFP and vendor security scorecard to the process about to change. Shared drives, personal OneDrive folders, the systems integrator's site, the project plan, chat and email, and the company intranet all held a version. Nobody could say which one was current.

Our Approach

A Front Door to Enterprise Knowledge and Workstreams

The ask had two halves. A knowledge store for business processes, so any department can find how a thing is done and whether it is still current. And a place to run enterprise initiatives across departments, with a clear path from draft to final.

Both come down to three questions, so we designed the site around them. Where is the latest version, is it final, and what happens next?

What People See, and What Makes It Work

Nobody needs to know where a file is filed. People come in through search, shortcuts, ready-made views or the Resource Hub. Underneath sit three layers a shared drive doesn't have.

Page Logic: Keeps It Current

Structure and Access: Keeps It in Order

Microsoft 365: No New Vendor

Dates Drive Pages
Countdowns and milestones move daily.

Status on Files
Draft to Published, and views filter on it.

Security Built In
Entra ID, tenant policies, version history.

Steps by Audience
Each audience gets its own next steps.

Live Destination
Finished guides link to where they're used.

Nothing New to Host
Forms, News and Power BI web parts.

One Template
Every workstream page renders from one file.

Access by Audience
Search shows people only what they can open.

Ready for Agentic AI
Agents answer from what each person can open.

Standard SharePoint Online, with a script editor web part and shared scripts stored in the site. The layers below the surface keep what people see accurate.

Four Ways In. No Folders to Browse.

Search

One box covers every page and library.

Shortcuts

Request, job aids, checklist and dashboards.

Ready-Made Views

Final work only, recently updated, recently added.

The Outcome

What Changes When an Enterprise Has a Front Door

Both go-lives landed on their planned dates. The site is built so the questions that come up every day don't depend on reaching the right person.

Moment

Without a Front Door

With One

Finding the latest version

Message someone and wait for a reply

Search once, or open a view of final work only

Knowing if it's final

Guess from the file name

Files carry a status, with version history behind it

Knowing what's next

Ask in a meeting, or dig out last week's deck

Countdowns and milestones that move with the calendar

Documenting a process

Guides go stale in inboxes and shared drives

One current, owned version of each process

Adding a workstream

New folders and new naming rules

A new workstream got its page and library from templates

Who sees what

Separate sites and shared drives per team

Team-only libraries, and search that respects them

Ready for Agentic AI

Business knowledge, processes and workstream information now sit in one place, with status, ownership and access by audience. That is what an agent needs to answer questions, chase past-due deliverables and flag a process nobody has reviewed in years.
