An Enterprise Healthcare Network Lands a New Oracle UI
One of North America's largest private-equity-backed healthcare networks needed to move tens of thousands of users across 1,400 locations in the United States and Canada to Oracle Fusion's Redwood UI. The launch date was fixed, and the organization could not rely on a phased cutover. The Redwood transition changed how procurement, accounts payable, accounting, tax, intercompany, and reporting teams completed daily work. Supplier portal users needed parallel enablement. Across 1,400-plus locations, eight distinct user groups needed different messages, examples, and support while site leaders, ATC teams, change management, training, and IT maintained one shared story.
The materials did not exist yet. Every guide, training asset, and poster had to be created for the new functionality, while users still needed a dependable safety net after go-live. A single missed audience or conflicting instruction could slow work across the network on the same day.
Our Approach
Align The Network Before Training Begins
The DORIAN Group began communications four weeks before release and extended them two weeks after launch. The campaign combined enterprise announcements, leadership briefings, departmental presentations, site-level outreach, reminders, service alerts, and a post-release resource summary. Talking-point guides gave site leaders and key contributors a common language for the change.
Build Learning Around Real Roles
The team rebuilt 58 training resources from scratch, including role-specific guides, UAT testing materials, a “What You Need to Know” video, and printable posters for every location. Onsite visits at key sites introduced the new UI, then four live “Train with the Pros” sessions gave users access to subject-matter experts across varied time slots. Recordings extended the reach beyond the live sessions.
Keep Support Available After Release
All materials were organized on an intranet resource page. After launch, twice-weekly office hours ran for two weeks so users could resolve questions while working in the new interface. The overall effort was tracked across 66 workstream records in Airtable, keeping communications, training, and support connected to the release timeline.

The Outcome
The rollout reached 1,051 total attendees across four live sessions, including 874 unique users. A further 27.5% returned for additional sessions, showing continued engagement beyond a single training event. The team delivered 58 detailed Oracle training materials and videos to support the transition across the network.
The result was a coordinated launch for a high-volume, no-phased-cutover change: users had role-specific guidance before release, a shared resource center at go-live, and direct support while the new UI became part of daily work.
